Zenith AI ("we," "us," "our") provides AI-powered client intake, automation, and marketing services to law firms and legal professionals ("Clients"), and operates communication channels — including WhatsApp Business — on behalf of those Clients to interact with their prospective and existing clients ("End Users"). This Privacy Policy explains how we collect, use, and protect personal data when you interact with us, including via WhatsApp.

1. Who We Are

Zenith AI is a technology provider building AI-driven client intake and automation systems for law firms, primarily serving the Romanian legal market. We act as a data processor on behalf of our law firm Clients for end-user communications, and as a data controller for our own business contacts and prospective Clients.

2. What Data We Collect

• Contact information: name, phone number, email address.
• Communication content: messages sent via WhatsApp, SMS, email, or web forms, including inquiry details you choose to share.
• Usage data: interactions with our calculator, landing pages, or chatbot/intake flows.
• Case-related information: if you contact a law firm Client through our systems, you may share details related to your legal matter. This information is processed on behalf of, and belongs to, the relevant law firm Client.

3. How We Use Your Data

• To respond to inquiries and qualify leads on behalf of law firm Clients.
• To operate AI-assisted intake, scheduling, and follow-up communications.
• To improve our automation systems and service quality.
• To send relevant updates if you have opted in to marketing communications (you may opt out at any time).

4. WhatsApp & Messaging Data

When you message us or a law firm Client through WhatsApp, your messages are processed via Meta's WhatsApp Business Platform and our automation infrastructure. We do not sell your data. Messages may be used to generate automated responses, qualify your inquiry, and route it to the appropriate law firm contact.

5. Data Sharing

We do not sell personal data. We share data only with:

• The law firm Client you are communicating with (where applicable);
• Service providers that support our infrastructure (e.g., cloud hosting, messaging platforms, CRM), under data processing agreements;
• Authorities, where required by law.

6. Data Retention

We retain personal data only as long as necessary to fulfill the purposes outlined above, or as required by applicable law or our agreement with the relevant law firm Client.

7. Your Rights (GDPR)

If you are located in the European Union/Romania, you have the right to access, correct, delete, or restrict processing of your personal data, and to data portability and to object to processing. To exercise these rights, contact us using the details below. If your inquiry relates to a specific law firm, we may direct your request to that firm as the data controller.

8. Security

We apply industry-standard technical and organizational measures to protect personal data against unauthorized access, loss, or misuse.
